Thank you for your invitation to participate in consideration for the contract of food service supplier for your new facility in our region. We at ASJ Nutrition Solutions are uniquely qualified to design a program to meet all your needs for high-quality meals for your patients and staff members. Our company can offer full service solutions with a cost effective budget. Please find enclosed our signed non-disclosure agreement of confidentiality as well as our proposal detailing the specific scope of our ideas for your project and references from satisfied clients. We look forward to the opportunity to meet with your administration to further discuss the potential to work with your organization.

Mission Statement

ASJ Nutrition Solutions aims to provide healthy, affordable, locally sourced and delicious meals and snacks for corporations in the Lowell, Massachusetts metropolitan region and surrounding suburbs. We believe in establishing and maintaining mutually beneficial business relationships with the companies we serve. Our ongoing commitment to providing value, in combination with an environmentally friendly, sustainable approach to delivering our products makes us a superior choice within the food service industry.

Company History

Founded by Roxanne Delaveccio in 1998, ASJ Nutrition Solutions began with a vision to improve the quality of edibles being offered to companies in Lowell, Massachusetts. Roxanne is a 1995 graduate of the Pittsburgh Institute of Culinary Arts who completed her college internship at a local corporate catering supplier. This experience showed her the need for specific improvements within the niche market, and she began to fill that need from her own personal kitchen in Marlborough, Massachusetts.

Dedicated to personalizing the market for large scale food production, ASJ has grown to have operations in three regional production facilities, as well as maintaining a local administrative office. Over fifty full time employees manage daily operations and we routinely contract with dozens of industry suppliers and over a hundred businesses utilize our services. Our annual corporate revenue has exceeded ten million dollars for the last four consecutive years, with a projected growth rate of 1.5%.

Executive Summary

Our proposal for ABC Medical Clinic will consist of two main elements: patients and staff. We will be responsible for providing tray-style meals to be served at patients’ bedsides three times daily. Weekly menu options will be provided, allowing for individual preference and dietary restrictions or special needs. Orders should be placed in advance, as in Friday afternoon for the following week running Monday through Sunday. Meals will then be prepared on-site and delivered to patient rooms.

For staff, we shall operate a cafeteria style dining experience within your facility. Extended hours of operation can be arranged to accommodate the lengthy hours which your employees work. Meals will be gourmet quality, served buffet style during regular meal times. Additional made-to-order selections will be available during other non-traditional hours. Menus will vary based on seasonal availability of items and cultural expectations. We will create a high-end restaurant atmosphere with a relaxed elegance as opposed to the sterile high-volume type eatery that is commonly found in hospitals and corporate office settings.

The cost of improving the dining facility is negligible because of the strategic planning that shapes our vision from the outset. The volume of business we do with our suppliers enables us to acquire our perishable foods at a substantial discount, which we are then able to pass on to you. This practice will make our unique vision affordable for your company. You will have the option to include meals as a part of the benefits package you offer to your employees, negotiated with us in advance, or they may pay personally out-of pocket. In the latter case, interested persons will have two payment options. They can purchase individual items a la carte, on a per meal basis or they may choose a pre-paid plan which can be offered for a certain number of meals to be used during a specified time frame.

Overview

The benefits of ABC Medical Clinic choosing to contract with us rather than hiring in-house employees will be a substantial savings of time, money and energy that could be better spent furthering the corporate mission of the clinic. Optimize your resources to focus on providing superior health care instead of being distracted by the issues of providing food service and allow us to devote our undivided attention to it. For your convenience, we provide consistently reliable service of a variety of high-quality, nutritionally conscious menu options. This is what we do; it is our specialty.

Organizational Viability and Qualifications

During the last three years, we have successfully maintained exclusive food service contracts with mega-corporations including Allegheny Ludlum, Cambridge University and Excela Health Corporation. We have the experience and dependability that you can rely upon when deciding on a food service provider for your new institution. We can easily negotiate with our suppliers to meet any special needs or requests you may have. Gluten free and casein free products are especially expensive and yet highly desirable for many patients on restricted diets due to conditions such as Crone’s disease and certain types of cancers. Our power to obtain these items at a more affordable price can improve your bottom line, which is a distinct advantage that we have over our competition in the local market. We generate more repeat business for our suppliers than the majority of our competitors and as a result we hold more buying power and sway over pricing.

Project Approach

We have been constantly improving and streamlining the services we offer to our corporate clients since we were founded seventeen years ago. Our basic business model will serve the needs of your clinic efficiently. All that is needed for our partnership to begin is a contractual arrangement of the specific details which will be tailored to custom fit your company’s unique needs. As our client, you can be assured of fresh foods, timely delivery, expert preparation and skilled management. The procedures we follow are time-tested and designed to deliver an optimal environment for dining within your corporate setting. We will obtain all local and state licenses to operate a food service institution inside your clinic. As we begin implementation of our plan, you can expect timely updates on project status, including detailed descriptions of progress, quality assurance, management methodology and problem resolution.

Vendor Management

We do business with dozens of vendors. Most of our business relationships with our suppliers have been successfully ongoing for over a decade. We strive to use local suppliers, as we believe in the importance of supporting the local economy however we can, and we seek environmentally sustainable products at every opportunity. Our produce comes from farmers including Full Circle Farm and Friendship Farms, both of which are located on Bethel Church Road in Westmoreland County. Schramm’s farm in Jeannette contributes seasonally as well. Dairy supplies come primarily from Schnieder’s and Galligher’s, who are both located in Johnstown, Cambria County. Meat is obtained from Hoffer’s Butcher in Ligonier and Bardine’s in Hannahstown. All our products are from non-genetically modified sources and are hormone and antibiotic free whenever possible. We believe in choosing organically grown and raised sustainable food sources at every available cost-effect opportunity. Vendors will supply and invoice ASJ directly. You will never need to be concerned with any supplier accounts under your corporate entity, as we guarantee the availability of all food and beverages to your site at all times.

Implementation

Personnel

Our team structure will include a project manager, Sheila Bennings, who can be interviewed by your board of directors for their explicit approval. Sheila has been directing the opening of new operations on our behalf for well over a decade. She is a graduate of Wharton Business School and holds an MBA in finance and accounting. Smooth implementation of our ideas into functional reality on-site is her exact line of work. We will then employ Susan Light as facility manager after start-up has been completed. Human Resources Manager, Frank Achton, will be responsible for filling all staff positions from accountant to head chef to dishwasher to facility maintenance. As with all our corporate accounts, ASJ company founder, Roxanne Delaveccio, will be personally involved with all aspects of your operations to ensure the success in every detail from planning onward. Excellence in performance is important to us, so we hire only the best in the industry. Education, training and experience are carefully evaluated when selecting candidates to fill staff positions for your site.

Expectations for ABC’s Contributions

This project has only minimal expected contributions from your clinic, detailed as follows: We will need the space to set up a functional kitchen and staging area, measuring 15 by 30 feet. Additionally, the area must include a walk in refrigerator and freezer, not less than ten square feet each. Dry storage with built in shelving should measure ten square feet also. Kitchen appliances, including industrial size oven and dishwasher will also be expected to be provided on site by ABC, at their expense. ASJ can facilitate the location and installation of these necessary components upon request.

Additional space must be provided to set up the restaurant buffet, salad bar, beverage station and seating area for eat-in guests. All furniture and hardware associated with the operation will be provided by ASJ, as per the decisions to be made during contract negotiations.

Cost Proposal

A detailed description of cost of services, personnel and materials will be provided based on market projections following the determination of ABC’s goals for the operation of the food service program at the medical clinic. Individually tailored specifications will determine the exact costs, which will assuredly be most competitive and include attention to satisfaction, value and commitment to excellence. We will provide an itemized breakdown of expenses for ABC and guarantee delivery of all agreed upon contractual stipulations at the projected costs. We are confident in our ability to fulfill our obligations on this project within the allotted timeframe and at the estimated costs.

Conclusion

Again, we wish to thank you for considering ASJ Nutrition Solutions as providers for all your corporate food service needs at your new medical clinic. It will be a pleasure to meet with your directors in person, at your earliest convenience, to determine the details which will bring your proposed project to successful fruition.
