An Electronic Health Record (EHR) is a computerized version of a person’s health records. EHR systems make access and sharing of information easy, streamlining workflow in a medical institution. Implementing an EHR system is an expensive undertaking, it is, therefore, important that users are trained on how to use the system to make the implementation successful. Resistance to implementation of EHR systems is common. Transition from the traditional paper-based system to an electronic system can be an overwhelming task for the staff. The real benefits of an EHR system can only be realized when the staff is on board and well trained to use it (Healthit.gov, 2015). Training staff for EHR implementation can take a long period if not planned properly.
Benefits of an EHR system are numerous including improved efficiency, improved collaboration, cost reduction, and accurate diagnosis increased patient participation. Due to the complex nature of EHR systems, user training can be difficult and time-consuming. The training track(s) chosen should be relevant, engaging and paced well to reduce disruption at the workplace (Roney, 2015). Training should be gradual, individualized and tailored towards the specialization and proficiency level of the user. For effective EHR user training, a multifaceted approach is adopted.
There are three effective user training tracks that LHHC should use; super-user, role-based and process-based training. In super-user training, LHCC will make use of the vendor training to establish a “super user” group among the staff. The vendor trains staff members who are highly proficient in computers, and super users provide training to other staff members. Each staff group has its roles and responsibilities; training should be tailored towards their roles, focusing on how each group will be using the system. Introduction of an EHR system affects workflow, users will be trained on the new structure through a process based training program. Staff training will be effective and timely using these three strategies.
