INTRODUCTION

Wedding planning as a project consist of various stages that require to be undertaken effectively for the event to be successful. I was approached by a young couple and requested to provide them with the necessary consultancy services in order to make their wedding colorful and successful as they were intending. The process involved two parts; consulting and project management. This study will focus on the first part, consulting, which will comprise five phases as described below.

PHASE 1: ENTRY AND CONTRACTING

The client contacted me over the phone citing that he had been given my phone number by one of my friends. He informed that they need my helping in planning their wedding that would take place in the next three months. The following were the activities that took place in phase 1;
Wedding occasion - it was Ann and James wedding that was to take place on 14 February, 2015 at millennium church followed by a reception in the people’s park.
Setting up the first meeting - The couple contacted on 15th November, 2014 so we agreed to meet on 20th November 2014 in my office at 10.00 A.M.

Documentation required in our first meeting: wedding planning, budget, venues, attendance among others.

Exploring the problem
In our first meeting, the couple informed that they are planning a wedding of about 200 people
The reception revenue they had seen was not big enough to host that capacity so we had to do some adjustments.

They had not consulted any service provider and they needed my help to do so.

Fulfillment criteria – I had organized a wedding for a similar couple about 3 months before in the same venues and therefore it was easy for us borrow something things from it.

Couples’ expectations

They expected to spend about $ 3000 for the whole occasion.
They wanted everything to go well in their wedding
They wanted their wedding to be enjoyable and colorful
My expectations
-The wedding should be colorful
- I expected everyone who attend the wedding to eat well

PHASE 2: DIALOGUE AND DISCOVERY

It involved adding value to the wedding event. I appointed a few members of my team who would assist me in coming up with methods for analyzing and measuring the success of the event. We came up with a documentation form that showed people who will be performing different tasks such as budget planning and event planning. It also comprised the no. of people, type of food, criteria for vetting service providers among others.

PHASE 3: ANALYSIS AND DECISION TO ACT

We agreed to meet with couple on 1st December, 2015 where I presented them with findings of our dialogue and discovery. Some of the issues I presented to them during the meeting include the list of food that will taken in the wedding, type of cars that will be needed, things we expect from service providers among others.
Discussion on plans to execute the project: we had a three-hour discussion with the couple, where they gave me their input on the plans I had presented to them. We then incorporated them in the final document.

PHASE 4: ENGAGEMENT AND IMPLEMENTATION

Meeting – we held several meetings with the couple and a few members of my team in order to assess the progress. Most of the discussions focused on service providers who were to play a crucial role during project execution.

PHASE 5: EXTENSION, RECYCLE AND TERMINATION

In this phase, we allowed the couple to assess the whole project in order to comment the areas that needed changes before execution. The documentation involved feedback checklist, expectation assessment, among others.
