Dear Mr. Smith:

On the 25th of February 2015 I have ordered a lunch in your restaurant for our annual board meeting. The order was supposed to be picked up on the 8th of April 2015. According to your catering policy I paid a half of the lunch and was to pay the rest upon pickup. However, I couldn’t pick it up since the 5-block radius of the White House, where you restaurant is located, was locked down due to the unidentified package spotted on the White House grounds.
For this reason I would like to hereby request an adjustment for the InFocus’ account. I understand that your restaurant purchased the food for the lunch before the cancellation was made. On the other hand, according to the contract, deposits may be refunded in extreme cases such as natural disaster. To my mind, a suspicious package is no doubt an equivalent of a natural disaster in Washington, DC.

Thank you for choosing our restaurant as a supplier for your annual board meeting. We appreciate that very much!
As you may know, we were not able to deliver the required food due to a security concern near the White House. Our contract clearly states that such actions are possible only in extreme cases such as a natural disaster. Unfortunately, the issue in question does not relate thereto that is why I have to refuse your request.
I understand the inconveniences that you may suffer, but security concerns are fairly frequent and affect many customers; unfortunately, they are outside of our control. Therefore, I hope for your understanding.
