Introduction

In any organization, the management has the obligation to define programs to measure and improve productivity. It is the objective of every organization to deliver quality products and services at the most efficient cost. In order to achieve these goals as a process improvement manager one has to come periodically up with strategies to improve on the levels of production or service delivery. In the production part of the organization quality and safety are critical to the process.
As a manager, you should prioritize the safety of your workers if at all you expect them to produce quality work. With this in mind, one should have a well-structured process improvement plan for all the departments. Device a structure that if well implemented can bring organizational change and development. One can employ process improvement strategies like lean manufacturing or six sigma to guide them. The choice of the strategy depends on a number of factors affecting production such as size of teams, tools, requirements and quality management.

Designing an efficient performance improvement program is the key to success. The program employs tool and methods that enable people to work efficiently. It requires an enterprise perception that recognizes the relation between strategic planning, program management, portfolio management, resource management among other tools. An understanding of theoretical models like six sigma and lean manufacturing will help guide a manager on what he needs to come up with a viable strategy
Both the lean and six sigma models provide a way in which quality improvement can be done. The steps are summarized into four that is planning, analysis and development, implementation and lastly monitoring and evaluation. As a manager, your quality improvement strategy should have all the four attributes.

Planning

It is the first phase of your improvement strategy. It is characterized by systematic problem evaluation so as to make it appropriate for the variation reduction approach. The problem is defined in relation to a measurable characteristic. Establish a way to measure the characteristic by ensuring the systems used are reliable. The base of the improvements to be made are determined and objectives to be met set.

Analysis and improvement

This is a non-experimental stage. In this stage, two objectives need to be met that is finding disturbances and selecting variables that need improvement. Analyze the problem to determine the main issues that need to be addressed or improved. A proper analysis will provide clues of what is required to be done. Any adjustments that need to be done are factored by means of working procedures, inspections or technical adjustments. After doing away with any issue that is found the necessary process of implementing the solutions follows. It is important to understand fully how the improvements are made across the organization. They should be in line with organizational goals and objectives. Whatever improvements that are made they should have a goal of reducing the gap between customers and your corporate products.

Implementation

The identified risks are put together and separated from the vital parameters. Design a model on responses to these parameters. Experimenting is very critical in this phase. Apply replies to each issue and analyze the outcome to draw a model that describes the whole process. The model predicts means of bringing response on the target and minimizes variation in the reply of the parameters under investigation. Improvements are made on the model to provide an alternative in case of error.

Monitoring and evaluation

The whole process requires periodic assessment to see if the objective sets have been achieved. It is a yardstick for a manager to measure success and failures. Have an audit plan so as to see that the improvements are held unto. Monitoring will help define targets across key aspects of service delivery such as personnel and infrastructural management. These audits will provide an assessment a clear indication of organizational progress and any emerging issues that may require remedial action.

Methods of improving performance

In any firm, sthere is always room for improvement so as they remain viable, visible and maintain competitiveness. One needs to take into account the strengths and weakness of the workforce for proper management. Important aspects to improve organizational performance are through communication, monitoring and evaluation, employee motivation and quality leadership.

Communication

Proper channels of communication should be devised for an organization to help one pass out expectations and emphasize on accountability. Every individual of workforce is outstanding thus the need to listen to all workers as a manager as their opinion may be significant. Hold regular meeting to assess the level of progress of pending projects, set new targets and goals, and brainstorm in existing or potential threats to the organization. Hold each accountable for the responsibilities they assume, their choices and deadlines they have agreed to meet.

Evaluation

It is to the best interest of the organization that job performance is monitored and evaluated throughout the year through written appraisals. These give workers the function of equivalent of a report card to categorize what they are doing well, where improvement is required and where trainings will be applicable. Invite employees to set up self-evaluations that will highlight their achievements, discuss issues they think are holding them back if any and request for any future assignment or trainings. Encourage feedback throughout the year and not just during the meetings.

Motivation

Develop and administer a fair and steady system of acknowledging the merit. Make the employees notice and feel appreciated no matter what position they hold in the company. A successful organizational culture is one that rewards initiative, dedication and performance through promotions, bonuses, merit certificates, and perks, as well as compliments. Mentoring and coaching can also demonstrate a commitment from management to help workers achieve their highest potential by providing advice on how they can grow their careers

Leadership

Managers should lead by setting examples through inspiration of the workers. They should be active listeners, people who respect unique talents of their employees, instill confidence and know how and when to delegate responsibilities to achieve better results. Bureaucratic leadership kills the morale and spirit of workers. The first step as manager you should take to improve your organization is to establish and enforce the concept of equity where there are no rules that govern supervisors and others for subordinates. Managers should be responsible and accountable for their mistakes and shortcomings as any employee to foster a healthy and truthful working environment. It is critical to discourage hearsay and address rumors before they escalate to mistrust and stay sensitive to feedback on what the organization could be doing better.

Balanced Scorecard

The balanced scorecard is a tool that plays a significant role in performance management helping the manager to clarify organizational goals and strategy hence translating them into tangible measures. They help the manager to measure and monitor performance and assign key performance indicators giving an individual the ability to track and optimize performance based on the indicators. The approach helps ensure customers service, employee satisfaction and sales and marketing are weighed aptly.

Recommendations

For any manager, man management is essential to the realization of organizational objectives. Therefore, it is recommended that a manager you should have excellent man management skills. Workers need to be handled in an ethical way. Create a conducive environment that is safe for the employee. Reward top performers and exceptional talents with the organization to motivate them. It is also fair to pay workers according to the bulk of the work they do. Underpayment will kill their spirit, and they will underperform.
Proper planning is essential in any organization. Perform periodic evaluation to check any shortcomings in your operations. It helps in making necessary adjustments to improve productivity. If it is a manufacturing firm, it should be up to date in terms of technology.
The world is shrinking into a global village so fast with the advance of e-technology. Embrace technology in your organization because it eases things and speeds them up. With the internet network is possible, and information sharing has become accessible with time.

Conclusion

Performance management is becoming popular each day as an organization move out to increase their productivity levels. Several methods and tool are embraced to ensure cost efficient production. In general these systems that are devised are intended to improve customer's satisfaction at the same time reducing production. Every organization is about cost efficient production and that the motivating idea for many managers.
