A project has certain characteristics include: a particular goal and objectives, specified start and end time (temporary), human resources (management team), utilization of technical resources and cycle of activities. If an initiative fulfills all the above-given characteristics then it can be said as a project. However, management of the project team to achieve the goals and objectives refer to the operations. And in order to achieve the objectives of a project, operations are required to be implemented successfully.
In order to execute and complete a project successfully, the project is required to initiate, organize, plan, motivate, execute, monitor and close properly. And the process of managing a project is referred to project management. In project management, there are five (5) phases include: project initiation, planning, execution, monitoring and control, and project closure. The phases of the project management are basically a cycle of activities required to complete within the agreed and specified duration by utilization of the human resources. Each of the phases of the project management has its own activities that produce diverse deliverables of a project.
Project management has nine (9) knowledge areas include: the cost management, scope management, time management, human resource management, procurement management, quality management, risk management and stakeholder management. The ninth (9th) knowledge area of the project management is tools and techniques required to implement / execute the project successfully. In other words it can be stated that the whole lifecycle of a project revolves against the five (5) phases and nine (9) knowledge areas of the project management (Project Management Institute Inc., 2004).
An Idea – Real Project
A project can be established for an opportunity or to resolve existing problems of an organization. Considering the fact, I would like to highlight an opportunity for the Regency Hotel where I work, in order to present an idea of a real project. The Regency Hotel has opportunity to enhance their hotel business around the globe by developing an interactive website. The website should specify all the facilities and specialties offered by the hotel. In order to attract more clients, the website of the hotel should specify the existing offers, promotions, and discounts offering by the hotel. Moreover, the clients should have facility to book the room(s) online from all around the world. It is expected that the development of the website would facilitate the hotel to increase revenue and profit. A project can be established based on the above-given idea.
In order to prove that the idea can become a project then it should fulfills the characteristics of a project. As described that a project should have specific goals and objectives, the goal of the idea is to enhance revenue and profit of the hotel. And one of the objectives is to attract the clients from all over the world by an interactive website specifying the features and facilities of the hotel. The management of the hotel is expecting to have the developed website within six (6) months, therefore, it can be stated that the idea (project) is temporary as it has to be completed within specified deadline. For implementation and development of the website, the hotel management would require human resources as well as technical resources including hardware and software. Therefore, the idea fulfils another characteristic (utilization of human as well as technical resources) of a project. The development of a website has to follow project management as well as website development lifecycle. Therefore, the development of website should have sequence of activities to be completed as per their development plan to complete the project within specified deadline. The above description proves that the idea is an example of a real life project (Gardiner, 2005).
Problem Tree – Logical Framework Approach
The Logical Framework Approach (LFA) is an analytical process of the project management. The LFA has four (4) main analytical components include: the problem analysis (problem tree analysis), stakeholder analysis, objectives analysis (objective tree) and analysis of strategies. The problem tree describes the main problem / opportunity, the cause and effect relationship established due to the problems. As described above that the Regency Hotel has an opportunity rather than a problem, therefore, the problem tree of the above-given idea would present the main opportunity with allied causes and benefits. In the problem tree, negative aspects of the idea are required to be highlighted in a way that a relationship between the cause and effect can be established. Actually, the problem tree analysis is a session of brainstorming in which the problems are identified along with the effects and causes originating problems. The problem tree has three (3) main parts branches, roots and trunk. The trunk is a main problem, the roots present the causes of the main problem, whereas, the branches of the tree presents the effects of the identified problem. In this regard, a problem / opportunity tree of the idea of website for the Regency hotel can be developed (The logical framework approach, 2010).
